Who we are

Tri-County Hemp Resources LLC ("Tri-County Hemp," "we," "us") operates tri-countyhempresources.com and related crop-recordkeeping tools for growers. Data controller: Randall Buchholz, Managing Member.

Tri-County Hemp Resources LLC is a private business. We are not affiliated with, endorsed by, or part of the U.S. Department of Agriculture, Farm Service Agency, or any other federal or state government agency.

Information we collect

Depending on how you use the site, we may collect:

• Account data: name, email, phone, password hash, date of birth, state, veteran self-identification
• Business and farm profile: legal entity, EIN, UEI, license numbers, addresses, lot IDs
• Compliance records and documents you upload (forms, COAs, IDs, veteran verification letters if provided)
• Shop and billing data: order history; payment methods via Stripe for US dollars and digital currency (we do not store raw card numbers)
• Communications: contact form messages, support email, voicemail metadata
• Technical data: IP address, browser type, session logs, audit ledger entries for security

How we use your information

• Operate your account and authenticate access
• Pre-fill compliance forms and export bundles you request from your stored profile
• Send email under our site correspondence policy: optional digests only if you opt in; site maintenance and societal emergency notices when needed (SMS not offered)
• Process subscriptions and shop orders
• Verify age via DOB at registration (18+), government ID upload before restricted checkout, and Stripe payment verification — 21+ only for hemp-derived products and hemp compliance portal plans
• Maintain audit trails, detect abuse, and scan uploads for malware (ClamAV)
• Respond to contact inquiries and customer assistance requests

We use your data to assist your recordkeeping. Unless you direct us otherwise in a separate agreement, you submit filings to USDA, FSA, and state agencies yourself.

SMS / text messaging

Texts are not sent until our carrier campaign is verified. This checkbox is how you opt in; you will not receive SMS until then. Use email and portal notifications, or call (239) 420-8463 for grower support.

We send transactional compliance notifications by SMS only after you opt in (for example CoC alerts, sampling reminders, and harvest log prompts). We do not use SMS keywords, QR codes, or paper forms for opt-in. Message frequency varies based on your lot activity — typically a few messages per month per active user.

Consent checkbox (website opt-in)

The same optional checkbox appears on /register and, after login, on Account. It is unchecked by default (not pre-selected). Exact label shown before you check the box:

How you can opt in

• Registration: At /register, enter your mobile number and optionally check the SMS consent checkbox (unchecked by default). You must provide a valid phone if you check the box.
• Account settings: After login, open Account, add or update your mobile number, and check the same SMS consent checkbox to opt in or uncheck to revoke.
• Verbal (manager-assisted): During trial onboarding, an authorized manager reads this disclosure, receives your verbal yes, and records consent in our secure manager portal with an audit trail tied to your account and phone number: "Tri-County Hemp Resources LLC may send recurring transactional compliance text messages to the mobile number on your account, including CoC alerts, sampling reminders, harvest and waste log prompts, and USDA/FSA portal notifications. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. We use your mobile number only to deliver operational and compliance-related messages you have consented to receive, and to support customer assistance you request.

How we share information

We do not sell your personal information. We share data only with:

• Stripe — payment processing for US dollars (cards and wallets) and digital currency, and saved payment methods
• Twilio — grower voice line only (SMS mothballed)
• Infrastructure providers — hosting and email under contractual confidentiality
• Legal requirements — when required by law, subpoena, or to protect rights and safety

Retention

Account and compliance records are retained while your account is active and as needed for audit, legal, and tax purposes. Compliance documents you place on legal hold are kept per your instructions until released. You may request deletion of your account; some logs may be retained where required for security or law.

Security

We use HTTPS, access controls, malware scanning on uploads, and an immutable audit ledger. No method of transmission or storage is 100% secure. See our Security page for details.

Your choices and rights

You may update profile data in Account, revoke optional consents (which may limit features), cancel SMS by replying STOP, and manage subscriptions via Stripe. Wisconsin and U.S. residents may contact us to access, correct, or delete personal information where applicable law allows.

Cookies and analytics

We use essential session cookies for authentication. We do not run third-party advertising trackers on the marketing site. If we add analytics later, we will update this policy.

Children

The service is not directed to anyone under 21. We do not knowingly collect data from minors.

Changes

We may update this Privacy Policy from time to time. Material changes will be posted here with a revised "Last updated" date.
